Event setups
CW&F’s Environment and Risk Management business unit is also responsible for event sets up and co-ordination with CW&F activities that may impact on UWS events. If you are planning an event to be held on a UWS campus, please complete a CW&F Client service request form (MS Word, 205Kb) and email it to facilities@uws.edu.au.
Once we receive your form, we will ensure that no CW&F activities that could impact on your event are scheduled during the event. If you provide a floorplan showing your desired furniture layout, we will arrange the furniture to suit your needs and, after the event, we will arrange for the venue to be restored to its original layout. We will also arrange for additional cleaning services, which will be charged against the relevant cost centre.
Furniture supply and installation
CW&F’s Programming, Technical Systems and Services business unit is responsible for the purchase, supply and installation of all UWS furniture, furnishing and fittings.
CW&F purchases all furniture, furnishings and fittings in accordance with the UWS Space Management Policy and CW&F’s furniture guidelines. We carefully select furniture that suits the image of UWS and will adapt to the changing needs of the University’s dynamic environment. We aim to purchase furniture that has a green star rating and is recyclable.
All orders for furniture, regardless of the funding source, must be directed through CW&F to ensure:
- value for money (i.e. through bulk purchasing)
- compliance with the UWS Space Management Policy and CW&F’s furniture guidelines
- ease of installation, maintenance, repair and replacement where necessary
- excess furniture is re-allocated, wherever possible
- surplus furniture is disposed of, recycled or stored for re-use.
If you have furniture needs and would like to purchase new furniture, please complete a CW&F Client service request form (MS Word, 205Kb) and email it to facilities@uws.edu.au.
GIS services
CW&F’s Programming, Technical Systems and Services business unit maintains the UWS GIS, which is available to all UWS staff and students. The UWS GIS provides UWS staff with access to spatial data (e.g. floor plans, room photos, aerial photos) and related textual information about the University’s physical assets (i.e. buildings, rooms, roads, paths and underground services), including space assignments. If you need a building floor plan or want to find out who owns a particular room, please refer to the UWS GIS—use your employee number and MyUWS password when prompted to log-in to the system.
The UWS GIS has video tutorials to help you learn how to navigate your way around the system. The video tutorials can be accessed through the “Video tutorials” link in the menu bar (top left corner of the UWS GIS home page).
The UWS room booking system links to the UWS GIS to provide users with information about rooms as part of the room booking process (i.e. the GIS provides room plans and photos as well as information about what audio-visual equipment is available in each room).
Landscaping and grounds maintenance
CW&F’s Grounds and Landscaping Manager oversees the care, maintenance and upgrade of the University's grounds and landscaping across the six campuses and external sites, in line with the UWS Landscape Master Plans and Landscape Management Plans. This includes:
- Maintaining lawns and gardens, including succession planning
- Maintaining sporting fields
- Upgrading existing gardens and landscapes
- Installing new gardens and landscapes
- Installing new irrigation systems and maintaining existing systems
- Maintaining and upgrading outdoor spaces
- Replacing outdoor furniture
- 24/7 emergency response grounds maintenance.
For more information on CW&F's landscaping projects, refer to our current projects webpages.
Logistics services
The University’s mail and stores services are run from the Logistics building on the Penrith campus, Kingswood and managed by CW&F’s Finance and Business Support Services business unit. All things mail-related at UWS pass through Logistics, including internal mail, mail from Australia Post and couriers and inter-campus library loans and transfers (i.e. the pick-up of library books, journals and other reference materials from one UWS campus and delivery to another campus).
All incoming and outgoing UWS mail and inter-campus library loans and transfers are sorted by Logistics and delivered to the drop-off/pick-up points on each UWS campus every business day. Mail is collected from the drop-off/pick-up points at the same time.
All outgoing mail (external to UWS) is recorded in a database and charged against the relevant cost centres before being picked up by Australia Post.
For more detailed information about CW&F's logistics services and how UWS staff can access those services, refer to CW&F's Logistics service guide.
The greatest challenge of our Logistics staff is delivering insufficiently addressed mail within their 24-hour turn-over timeframe. To make their job easier (and to ensure your correspondence is delivered correctly within the shortest possible timeframe), please address internal mail as follows:
Full name of recipient
School or Department
Building number
UWS campus/site
Logistics also provides internal courier services for the transport of large parcels and boxes between UWS campuses. Any parcels and boxes that don’t fit into the University’s mail bags can, upon request, be picked up and delivered by the stores team. If you have a mail or stores related enquiry, or need to arrange a large parcel/box pickup, please email logistics@uws.edu.au or phone 02 4736 0427 (ext. 2427).
Maintenance
CW&F’s Strategic Asset Planning business unit is responsible for the maintenance of built assets, associated fixed plant and equipment and building infrastructure across the six UWS campuses and sites. For a comprehensive list of CW&F's maintenance responsibilities, refer to the Directorate's maintenance guidelines.
To report a routine maintenance or facilities request, please complete a CW&F Client service request form (MS Word, 205Kb) and email it to facilities@uws.edu.au.
To report an urgent maintenance issue that requires immediate attention, please phone the UWS Contact Service Centre on 9852 5800 (Ext 5800). After hours calls regarding urgent maintenance issues will be transferred to the Duty Security Officer.
Project planning
In July 2008 a new, improved process for identifying, defining and approving capital works business cases was implemented across the University. The process ensures strategic alignment of capital works projects with the University’s goals and objectives.
If your College or Division has identified a need for capital works to be undertaken, you will need to complete an Education Brief or Sponsor’s Brief (depending on the type of capital works required). Education Brief and Sponsor’s Brief templates are available from CW&F’s Project Planning Office – email cwf_enquiries@uws.edu.au
Once the brief has been completed, approved by your Dean/Executive Dean/Director and submitted to CW&F’s Project Planning Office, the UWS Executive and Campus Development Committee will assess the request against the UWS Strategic Plan: Making the Difference 2010-2015 and the Capital Program.
If you require any assistance in completing an Education Brief or Sponsor’s brief, please contact CW&F’s Project Planning Co-ordination Officer, Jodi Clark.
Removals and relocations
All UWS removals and relocations, no matter how big or small, are managed by CW&F’s Environment and Risk Management business unit. If you need a desk removed, your office relocated or the entire contents of a building relocated we can help. For removals and relocations assistance, please complete a CW&F Client service request form (MS Word, 205Kb) and email it to facilities@uws.edu.au.
Once we’ve received your request, our relocations staff will contact you to discuss any issues and establish a removal schedule. Larger relocations will take greater co-ordination and, hence, a longer lead time may be required prior to the move—please keep this in mind when planning your relocation.
Signage
CW&F’s Programming, Technical Systems and Services business unit is responsible for all way-finding and identification signage throughout UWS’s six campuses and external sites. Our aim is to ensure UWS’s campuses and sites are not only welcoming to students, staff and visitors, but easy to navigate by drivers, riders and pedestrians. It’s our job to produce clear, accurate and high quality signage so you can get from A to B and on to C as easily and efficiently as possible.
All signage on UWS’s campuses and sites must comply with the University’s branding strategy, visual identity and signage design guidelines. If you require a new sign or modification of an existing sign, please complete a CW&F Client service request form (MS Word, 205Kb) and email it to facilities@uws.edu.au.
Space management
UWS aims to optimise its space utilisation for both non-teaching and teaching space in terms of efficiency and effectiveness, thereby reducing the University’s overall capital outlay, maintenance and running costs. Through strategic physical planning capability and space management in accordance with the UWS Space Management Policy, CW&F’s Strategic Asset Management business unit ensures that the services we provide in this area link closely with the University’s strategic initiatives.
All requests for allocation of space and requests to relinquish space need to be submitted to CW&F’s Client Relationships, Heritage and Space Management Officer, Janet Canlas via the relevant space allocation forms available on the forms webpage.
