Do I have to use my student email account?

Yes, it is a condition of your enrolment as a UWS student that you check your student email account and use it to communicate via email with the University.

Email is the official communication channel between you and UWS. We regularly send you emails with important information about your enrolment, exams, results, graduation and University news. If you don't check your student email regularly, you will miss important messages which may affect your enrolment at UWS.

How often should I check my student email account?

As per the UWS Enrolment Policy, it is a condition of your enrolment that you check your student email frequently. The UWS Email Policy (opens in a new window) recommends you check your student email daily, where practical.

What is the size limit for attachments?

You can currently send emails from your student email account with attachments up to 5MB. After the student email upgrade (28 June-1 July), this will increase to 10MB.

Care should however be taken when sending large attachments as many users and organisations, including UWS, are unable to accept large attachments. Unless you know your recipient can accept large attachments, you should keep attachments to less than 5MB. You may need to make alternative arrangements to submit assignments and other large documents to UWS.

Can I automatically forward my student emails to my private/work email account?

Yes, you can. However, you must always use your student email address when contacting the University by email as UWS staff can only accept and respond to emails sent from official UWS student email addresses. It is also highly recommended that you set your private account to always respond to incoming UWS mail by using your connected student email address.

Forwarding University emails to a non-UWS email account will be at your own risk. UWS will not be responsible for the handling of email by other email service providers and will not guarantee delivery to forwarding addresses or monitor and/or manage undeliverable messages.

We also strongly recommend that you check your student email inbox via the MyUWS Student Portal on a regular basis to ensure mail is being received and forwarded and that your storage capacity has not reached its limit.

Can I access student email from a mobile device (iPad, smart phone) or an external mail client?

Yes you can, however to send and receive emails from your mobile device it must be able to support Exchange ActiveSync, IMAP4 or POP3 email protocols. If you are not sure whether your mobile device supports Exchange ActiveSync, POP3, or IMAP4, refer to your mobile phone documentation or your mobile service provider.

You can also check your email via your mobile device by using its browser to go to the UWS website, logging into MyUWS Student Portal and clicking 'Student email' in the left hand navigation list.

What are Exchange ActiveSync, IMAP4 and POP3?

Exchange ActiveSync, IMAP4 and POP3 are protocols available for delivering mail to your device. UWS recommends using Exchange ActiveSync or IMAP4 protocol methods to connect to your student email account.

  • Exchange ActiveSync synchronises your device and student email so they both show the same content
  • IMAP4 (Internet Message Access Protocol) downloads mail to your device while retaining messages in your student email, and provides access to all created folders. All actions are “mirrored” and saved in your student email
  • POP3  (Post Office Protocol) downloads mail to your device and deletes the original message from your student email so the only copy will be on your device
  • POP3 only gives access to new mail and created folders are not available

I am graduating or ceasing study, can I still access my student email?

Yes, you just need to email the UWS IT Service Desk (ITServiceDesk.uws.edu.au). Make sure you include your UWS student ID number.

Please note, this will only give you access to your email account. You won't have access to UWS online systems (MyUWS Student Portal, MySR and vUWS).

How do I keep access to my student email once I am no longer a current student?

How do I reset my student email password once I am no longer a current student?

The UWS IT Service Desk does not provide email support for non-current students. If you need help, please visit Microsoft Live (opens in a new window)

What if I accidentally delete an email, can I get it back?

Items that you delete go into the 'Deleted Items' folder where they can be recovered if necessary. Items will stay in the 'Deleted Items' folder until you manually clean them out. Once emptied from the 'Deleted Items' folder you can recover them for a further 14 days, after which time the item is permanently deleted and cannot be recovered. How is my privacy and data security maintained?

UWS and Microsoft take the privacy and data security of its users seriously. These issues were a major consideration when evaluating this product for use by our students. Microsoft is vigilant in maintaining compliance with global privacy laws and meeting numerous government-mandated and industry-specific security requirements, including the National Privacy Principles contained in the Privacy Act 1988 (Commonwealth of Australia).
