Update your details

Before you apply to graduate, you need to check that your enrolment and personal details are correct in MyStudentRecords (MySR). Please ensure the following information is up to date.

If you need to change this information, please follow the below instructions.

Course and enrolment

You need to make sure that all the details below are finalised and correct (if they apply to you). If they’re not, the information on your testamur and AHEGS will not be correct.

  • Course transfer – make sure your application is submitted as per the process and closing dates on the Internal course transfer webpage
  • Advanced Standing – all Advanced Standing applications must be submitted by the deadline. Find out more about Advanced Standing
  • Change of grade – all change of grade requests must be submitted by the deadline

Course details and unit sets

You need to make sure all your course details are correct. If you don’t, these details won’t appear on your official graduation documentation. One of the most important course details is your ‘unit sets’ – a unit set can be a key program, major, sub-major or specialisation. Find out more about unit sets.

If you are unsure about your course, contact your Director of Academic Program.

To view and update your unit set information, log in to MySR (via MyUWS)and:

  1. Select ‘Enrolment’ in the left menu
  2. Then select ‘Unit Sets’ in the middle of the screen
  3. Add a unit set:
    • Click the ‘Add a key program, major or sub-major to your course’ or the ‘Add an optional major or sub-major’ button
    • Click the ‘Confirm’ button
  4. Remove a unit set:
    • Check the box in the 'Action' next to the unit set you want to remove
    • Click the ‘Confirm’ button

Outstanding fees

You cannot graduate if you have any outstanding fees. This includes all library fees and your SSAF.

Your SSAF for the first half of 2013 is due on Thursday, 16 May. You must pay or defer (if eligible) by this date.

Check the graduation deadlines for when your fees need to be paid.

Personal details

Name

Ensure your name is correct on your student record as this is the name that will appear on your Testamur and AHEGS. If you want to change your name on your student record, please complete and submit the Change of Personal Details form to Student Central.

Tip: You can apply to graduate first and submit your Change of Personal Details form immediately afterwards. The graduation team is unable to change your name on the system, if your name is incorrect in any way you are to submit a

Once you have received confirmation of your name change, please email graduations@uws.edu.au to advise us of the change. Please don’t email us before receiving the confirmation as we can’t do anything until that happens.

Name changes to your graduation documents after the deadline. will incur a $250 fee.

Mobile number

Check your mobile number is correct in MySR as we may need to send you an urgent SMS regarding your graduation. You mobile number can be located and updated under 'Personal Details', then 'Profile' and then 'Contact Details' in MySR.

Tip: Your mobile number must be entered correctly in the 'mobile field' and not the 'home' or 'other' number fields.

Mailing address

Ensure your mailing address is current. Your graduation ceremony details will be mailed to this address. You will not receive important information about your graduation day if this address is incorrect.

MyMail account

Your MyMail account may expire prior to your graduation ceremony. We encourage you to set up automatic forwarding of your MyMail account to a personal email account to ensure you receive important information.

Please make sure your personal email address is also up to date in MySR.
