Course completion letter
A course completion letter is a letter which confirms that the student has completed the necessary requirements to finish their degree and is eligible to graduate pending final approval from the School Academic Committee.
Course completion letters are printed on the University letterhead and signed by the Academic Registrar.
Students require course completion letters for reason such as:
- To provide evidence of completed qualification to prospective employers while waiting for graduation
- To meet admission requirements at other educational institutions
- To meet immigration requirements
Am I eligible to apply for a course completion letter?
A course completion letter can be provided if you have completed your course or are about to receive results from your final session.
What information will be included in the course completion letter?
All course completion letters will include the following information:
- Course requirement met date
- Session start date
- Session end date
- Conferral date (for graduated students)
- Part time/full time student (for international students only)
- Language in which the course was delivered (English only)
- Student details such as:
- Student name
- Student ID
- Course code
- Award title
- CRICOS code (for international students only)

How much is a course completion letter?
A course completion letter costs $30 for postage within Australia and $45 for postage outside Australia. This is a non-refundable fee that must be paid via iPay
How do I apply for a course completion letter?
Step 1. You make a payment via iPay. Select ‘Course Completion Letter’ in the Student Administration section
You will be sent an email with a confirmation of your order. Please ensure you add the iPay number (IP ####) to the Course Completion Letter application.

Should an application for a course completion letter be unsuccessful, the fee will be retained to cover administrative costs.
When will I receive my course completion letter?
Letters are only issued when all course requirements are met and the school has given approval. Letters can only be issued when final grades are released and all encumbrances have been removed from your record (if any). The Assessment and Graduation Unit dispatch letters within 14 business days of receipt of your application. Delays may occur during our graduation periods of April, September and December, and during extended University closures, such as the end of year break.
Do I still need to apply to graduate if I receive a course completion letter?
If you are successful in obtaining your course completion letter you will not need to apply to graduate. You will be included in the next appropriate graduation round pending final approval.
Further information about your graduation will be emailed to you via MyMail so check your email regularly.
Important
Personal Collection
Personal collection, faxing or emailing of the application form and/or the course completion letter is not possible.
Time frames and external institution deadlines
UWS is not aware of specific deadlines or requirements set by external institutions, to which you may need to submit your course completion letter. It is the responsibility of the person submitting the request to place their order allowing enough time for processing to ensure external deadlines are met. Priority processing is not available under any circumstances.
Application dates
Do not order your course completion letter months ahead of when it is required. We aim to dispatch your letter within 14 business days. Your application cannot be placed on hold in order to be issued at a later date.
Postage
Your course completion letter will be posted to the address you provide on your iPay order. Please ensure your address is correct as we cannot amend this. UWS does not take responsibility for lost or undelivered postage if the address provided is incorrect or if you change addresses. If this occurs, you will need to reorder your course completion letter at your own cost.
If you require the letter to be sent directly to an external institution please enter the name and address of the intended recipient in the appropriate fields when you make your order via ipay.
Processing delays
Delays in processing your order can occur during the graduation periods of April, September and December and during extended University closures, such as the end of year break. This is due to the Graduations Team not receiving approval from your school during these times.
Priority orders
Priority processing is not available under any circumstances.
