The project will use the best of our current know-how and experience, supplemented with best practice expertise to grow our internal capabilities.

Project Governance

The project will utilise the PRINCE2 project governance discipline to ensure rigour and appropriate representation from across the University.

Project Board

The Project Board consists of:

User Groups

The project team and project board are also supported by the following user groups:

Senior User Group

Representing users from across the UWS community, the Senior User Group will:

  • provide advice on how the project will impact the University
  • help develop strategies to support the change
  • identify and monitor the benefits they expect the project to deliver

The group consists of the following UWS representatives:

Senior Supplier Group

Representing ITS' interests in the project, and forming a core membership of the Process Design Groups, the Senior Supplier Group will:

  • act as internal user group to ensure the right approach and process are designed and implemented
  • monitor progress and ensure active participation in various project activities
  • review and recommend actions on outputs
  • provide the right resources to support the project

Process Design Groups

To help design fit for purpose processes that work for our customers and ITS, the project has used process design groups throughout stage 1. As these design groups are specific to processes being designed, we will be setting up new groups  once stage 2 planning has been completed. Watch this space for future updates on the design groups and who's involved. Their purpose will continue to be:

  • participate in workshops to redesign various ITIL processes in scope for this project
  • represent the interests of their portfolios by providing feedback and ideas for improvement in relation to specific processes
  • encourage information flow between the process design groups and the teams they are representing

Change Champions

To help us reshape our practice and the ‘way we do things around here’, we have also established a group of ITS change champions. Rather than focus on technology or process, their role is to help shape our culture by:

  • ensuring all impacted stakeholder groups are identified
  • helping to develop strategies that ensure these groups are fully engaged, informed and supported throughout the change
  • encouraging information flow between stakeholder groups and the project to minimise information gaps
  • developing a community of practice to ensure ongoing and proactive communication and engagement takes place during all change after the project ends.
