Who should be using the Electronic Timesheet?

All general staff at the University up to and including Level 9 staff.

I am a new staff member and have not previously used a UWS electronic timesheet. How do I start?

  1. Download the current Electronic Timesheet

  2. Complete the ‘Details’ page in regard to your name and location

  3. Enter on the ‘Details’ page

    • The first day of the settlement period that you are commencing in the field ‘First Settlement Period Starts from’:

    • If you are a part-time staff member, complete the 'Contract Hours’ and Total Number of Days in a 'Flex Period' that you are contracted to work, and the system will calculate the average number of hours worked in a day. Otherwise, these details will default to details for a full-time staff member

  4. The first sheet will begin on the first day of the settlement period that you have commenced. On the day that you actually start, commence entering your work times on that day

  5. If you did not commence on the first day of the settlement period, you will need to adjust the 'Less Contract Hours' in the calculation box at the bottom, to balance your progressive hours in this first sheet. Please note that you cannot adjust this field in any of the subsequent sheets

I receive approval to change my contract hours. Can I just adjust my hours on the 'Details' sheet and continue using the same timesheet?

No, if you change any information on the 'Details' sheet, all attached timesheets will be amended with the change including those completed before the change in hours. If your contract hours are changed, you will need to download a new sheet and commence as detailed above.

I need more information in using the electronic timesheet. What do I do or who do I ask?

The Flexsheet has a tab with 'Help' notes that you can click on when using the sheet, to assist you.
