Overseas Field Research
Research Overseas and Higher Degree Candidates
- Candidates are considered UWS travellers if they are conducting work overseas that contributes towards their degree, whether funded by UWS or not.
- Candidates must apply for permission of their School to travel overseas to conduct field work.
- Candidates must book travel using the uUWS travel booking system.
- Candidates must abide by the UWS Travel Policy.
UWS Travel arrangements are processed via the UWS Travel Portal www.uws.worldtravel.com.au
Applications must be lodged via the UWS Travel Portal using an e-TAN, at least 21 calendar days before the planned departure.
Applicants must adhere to the Travel Policy.
Research candidates undertaking field research are subject the University's OH&S obligations and must consider any travel advice issued by the Department of Foreign Affairs and Trade (DFAT) (opens in a new window). UWS travellers must adhere to and monitor DFAT travel advisories when organising and travelling overseas.
Travel to destinations where the DFAT travel advisory classification is "reconsider your need to travel" must be approved by the relevant Executive Dean or Deputy Vice-Chancellor. Approval to travel is considered on a case by case basis.
If travel has been booked and the DFAT travel advisory classification escalates to "reconsider your need to travel" the Executive Dean or Deputy Vice-Chancellor must again approve travel before departure.
Where the DFAT travel advisory classification escalates to "do not travel" the travel approval is withdrawn.
UWS will not approve travel where the DFAT travel advisory classification is "do not travel".
If the DFAT travel advisory classification escalates after travel has commenced, the relevant Unit should make contact with the traveller and assist in their return if warranted and notify the Finance Office for travel and insurance assistance.
UWS travellers approved to travel to destinations where a DFAT travel advisory classification of "reconsider your need to travel" has been issued, must register with Smartraveller (DFAT) prior to departure. Irrespective of travel warnings, all other UWS travellers are also encouraged to register their overseas travel plans with DFAT prior to departure.
Applying for School permission to travel
All candidates travelling overseas to conduct research should apply using the Application to Vary Research Candidature/Scholarship form (PDF, 108Kb).
International candidates are advised to contact UWS International to ask about the validity of their visa if they leave Australia for any period. This must be endorsed by an International Student Advisor.
Research Higher Degree Scholarship Policy - Australian Citizens and Permanent Residents.
Scholarship holders may take up to 12 months field work overseas and remain in receipt of their scholarship. However, certain conditions must be met regarding supervision during that period and relevance of the work to completion of the degree.
The candidate must apply for permission to the School or Research Institute HDR Director (or equivalent) at least three months before the proposed date of departure.
