Authorship, Attribution and Publication Affiliation

Guidelines for staff and students of the University of Western Sydney (UWS) on the attribution of publication affiliation in accordance with the UWS Research Code of Practice and the Australian Code for the Responsible Conduct of Research (Sections 4 and 5).

The guidelines apply to all University staff and students, including adjunct and other honorary staff appointments and apply to all authors of publications not simply to first named authors.

Relatedly, research funding agreements normally require that the funding body’s contribution to research and other activities are acknowledged.

The University of Western Sydney has a vibrant and dynamic research culture with multidisciplinary research undertaken across a diverse range of areas including culture, society, health and the environment. The University is committed to ensuring that academic and financial recognition is received from the publications of its staff and students.

Publications of UWS-based author/s (staff, students and honorary appointees) must be correctly and consistently attributed to the University of Western Sydney. External machine-readable analysis of publication data creates the risk that UWS will not be credited without correct attribution, resulting in the University and its staff not receiving the academic and financial recognition.

If clarification is needed as to how to apply authorship or attribution in particular circumstances, advice should be sought – as follows:

  1. In deciding on authorship matters, including internationally accepted protocols of who should be listed as an author on a publication and what order they should be listed, we recommend the use of the web tool Authorder® http://www.authorder.com
  2. You can seek advice from the Office of Research Services prior to submitting research outputs for publication, particularly on attribution to ensure recognition for research performance purposes, ERA and publication indexes (e.g., Scopus or Thompsons ISI).

To ensure your research performance is registered

All UWS authors are required to cite their institutional research base as the University of Western Sydney when recording their institutional affiliation in research articles, conference papers and other publications, irrespective of the placement of the affiliation in the publication.

University of Western Sydney must be written in full.

Depending on the publication, the preferred style for attribution is University of Western Sydney, followed by Institute/School/Centre or if applicable, Division. Listing the University of Western Sydney first is the most effective method for ensuring that UWS (and therefore the relevant Institute, School or Centre) receives recognition.

In the rare instances where it is not possible to list the University of Western Sydney as the first element when recording institutional affiliation, University of Western Sydney must appear as the second element of the affiliation.

The relevant Institute/ School/ Centre/ Division may be listed as second and tertiary affiliations, where there is sufficient space to do so, and never in place of University of Western Sydney.

Do not use acronyms such as UWS as this may be mapped in machine analysis as some other institution (e.g. UWA, UTS, Sydney, University of Wisconsin), rather than the University of Western Sydney.

If a journal allows for separate institutional attribution and address for correspondence fields, the corporate address (University of Western Sydney, Great Western Highway, Werrington 2747, Australia) must be used in the institutional attribution field and a full postal address (University of Western Sydney, Locked Bag 1797, Penrith NSW 2751, Australia) provided in the correspondence field.

If a journal has only one field in which both affiliation and address for correspondence are recorded, use the full postal address.

Creative works

A byline in all publications and promotional material associated with the project stating the researcher’s affiliation with the University must be included. If space permits, the logo of the University should be included – in the preferred position of right side of documents or materials. If the project has been supported by the University (in-kind or funds) then acknowledgement of that support is also required.

Example 5 – CRC or ARC Centre of Excellence

Examples of full postal address

Researcher Name, University of Western Sydney, Hawkesbury Institute for the Environment, Locked Bag 1797, Penrith, 2751, NSW, Australia

Do not use campus addresses.

Acknowledging support of research

Funding agreements normally require that the funding body’s contribution to research and other activities are appropriately acknowledged; this includes the University of Western Sydney.

The ARC and NHMRC Funding Agreement requires that any ARC or NHMRC contribution to research and other activities be appropriately acknowledged in any publication, literary or artistic work related to the research project. Researchers who have been awarded a fellowship by the ARC or NHMRC should acknowledge that they are the recipient of a fellowship.

The ARC's contribution and support of the project must be acknowledged in a prominent place and in an appropriate form. The acknowledgement should include the mention of the ARC as a funding body and wherever possible, the ARC logo should be included with acknowledgements of ARC funding. Examples

In general, the ARC recommends wording to the following effect:

"This research was supported under Australian Research Council's Discovery Projects funding scheme (project number XXXX)."

"Professor/Dr XXXX is the recipient of an Australian Research Council Federation Fellowship/Post Doctoral Fellowship/etc (project number XXXX)."

In cases where the material or publication contains a message or view which could possibly be interpreted as being that of the ARC, and which has not been officially endorsed by the ARC as such, the following form of attribution is recommended:

"This research was supported under Australian Research Council's Discovery Projects funding scheme (project DP0XXXXX). The views expressed herein are those of the authors and are not necessarily those of the Australian Research Council."

The NHMRC requires that “Any material published in respect of a Research Activity must:

  1. include the Grant Identification Number for the Research Activity; and
  2. specify that the contents of the published material are solely the responsibility of the Administering Institution, a Participating Institution or individual authors and do not reflect the views of NHMRC.

The NHMRC logo may not be used without NHMRC’s prior written consent to that specific use of the logo.
