Note: If the census date for a term falls on a weekend, you will need to provide any documentation to a Student Centre before 5.00 pm on the Friday before the census date.

Overview

The census date applies to students who are studying a course that is part of Academic Pathway Programs.

The census date is the official deadline for finalising your enrolment and fees for a term. This is your last opportunity to discontinue without penalty.

By the census date, you need to be sure you want to continue studying your enrolled units and, if you do not wish to continue, to notify UWSCollege.

You also need to have either provided your Tax File Number (TFN) by this date (if you are eligible to defer your tuition fees) or have paid your fees in full. Payments will not be accepted after this date.

It is also the date by which you must notify the College of any changes to your citizenship status and submit a new electronic Commonwealth Assistance Form (eCAF).

Changes to your course

Before resigning from a course, you must get advice from your Head of Program or Course Coordinator.

If you are an international student, you are also required to meet with the Student Adviser after you meet with your Head of Program or Course Coordinator as changes to your course may affect your visa.

Applying before census date

If you discontinue a unit before the census date for that term, you will not receive a grade for that unit and you will not be liable for any related tuition fees or student contribution charges.

If you wish to discontinue units, you should do so before  the census date through MyStudentRecords (MySR) on MyUWS Student Portal.

If you submit a request for leave of absence or resignation on or before the relevant census date, you will not be liable for any tuition fees or receive a grade for any units you were enrolled in, and your Student Learning Entitlement (SLE) will not be affected.

To apply for a leave of absence or withdraw from your course, you will need to fill out the "Leave of absence" section or "Resignation" section of a Discontinuation or break from studies form, available online or from Student Centres, and submit it to a Student Centre. 

Applying after census date

If you submit a request to discontinue units, resign or apply for a leave of absence after the census date, you have committed to your enrolled units which means you will receive E grades (failed — discontinued) for any enrolled units (but see Withdrawal without academic penalty application).

You will also be liable for any tuition fees for these units. If you paid your fees up front for the term, you will not be entitled to a refund in this situation.

To apply to discontinue a unit after the census date, complete a Discontinuation or break from studies form and submit it to the Student Centre.

In addition, if you do not provide your TFN or pay your fees by the census date, your enrolment will be cancelled.

International students

If you are a student visa(opens in new window)Opens in a new window holder, you must remain enrolled in a full-time study load. If you resign from your course, this will ultimately lead to your visa being cancelled. Within a month, you must either:

  • leave Australia, or
  • lodge a valid application for a new visa.

Therefore, you must contact your Student Adviser before taking any action.
